Declaration for New memberships:

I/We, as the applicant/s, acknowledge that upon my/our membership starting, the full subscription is due covering a 12 month period from the membership start date. I agree to abide by and take responsibility for all the above applicants abiding by the Rules and By-Laws of the Club as published from time to time.

I understand that if choosing to pay monthly, I am committing to a full 12-month membership from the date my membership starts. Monthly payments are a way to spread the cost, not a rolling monthly subscription. If I stop payments early, I am still responsible for the remaining balance of the 12 month membership fee.

Declaration for Membership renewals:

I/We, as the applicant/s, acknowledge that upon my/our membership being renewed, the full subscription is due covering a 12 month period from the date the membership is renewed. I agree to abide by and take responsibility for all the above applicants abiding by the Rules and By-Laws of the Club as published from time to time.

I understand that if choosing to pay monthly, I am committing to a full 12-month membership from the date my membership is being renewed. All memberships:

MEMBERSHIP & PAYMENTS · annual membership subscriptions are payable in advance · fees and memberships are non-transferable and non-refundable once paid · membership secures the right to use club facilities but does not guarantee court/session availability · monthly payments are collected automatically · missed payments may result in suspension · fees may change with notice.

PARTICIPATION & RISK · all sports involve risk of injury · members participate at their own risk · members confirm they are medically fit · appropriate footwear and equipment must be worn · the club is not liable for injury except when caused by negligence by the club.

CODE OF CONDUCT · treat all members, guests, officials and staff with courtesy and respect · do not engage in abusive, aggressive, discriminatory or inappropriate behaviour · support a positive and inclusive club environment at all times · play honestly and fairly · respect opponents and decisions made by organisers or committee members · win with humility and lose with grace · promote a safe environment for juniors and vulnerable adults · follow safeguarding policies where applicable · report any concerns to the appropriate club officer · respect club property and equipment · leave courts and communal areas tidy · follow booking systems and facility rules · members are responsible for the conduct of their guests · ensure guest fees (where applicable) are paid · do not post content that could damage the club’s reputation · avoid sharing confidential or sensitive club information · adhere to club rules, policies and committee decisions · breaches of this code may result in disciplinary action, including suspension or termination of membership.

SAFEGUARDING REFERENCE · parents/guardians must consent for juniors · treat all individuals with dignity and respect · not to engage in bullying, abuse, neglect, harassment or discrimination · avoid situations where you are alone with a child unless absolutely necessary and in line with best practice · any safeguarding concerns will be reported immediately to the club welfare/safeguarding officer · concerns will be treated seriously, sensitively and confidentially · if a child or vulnerable adult is at immediate risk, to contact emergency services.

PHOTOGRAPHY AND MEDIA USE · avoid taking images without permission · avoid inappropriate content · avoid publishing and sharing · avoid misuse of club name or branding · avoid recording matches or coaching · adult members provide consent for photography and media use upon joining (with the option to opt out) · for juniors (under 18), written parental/guardian consent is required before images are used · consent can be withdrawn at any time by contacting the club secretary.

DATA PROTECTION AND PRIVACY · we collect personal data to administer membership · data is handled in accordance with UK GDPR · you agree for the club to hold the following: name, address, email and telephone number · date of birth (where relevant) · emergency contact details · membership category and payment records · medical information (only where voluntarily provided and relevant to participation).

Breaches may result in disciplinary action, including suspension or termination of membership.

I confirm I have read and agree to the membership agreement, I acknowledge the participation risk and liability terms, I have read the code of conduct terms, I have read the safeguarding terms. if relevant, (I am the parent/guardian and consent to membership). I consent to photography and media use, I have read the data protection and privacy terms, I confirm that I am medically fit to participate in club activities and will inform the club of any condition that may affect my safe participation.
